Venue Location and Reservation
The Bureau will source and receive quotes from venues that meet your requirements.
Preparation of Bid Documents
Aberdeen Convention Bureau works very closely with its partners to provide a tailor made document for the conference committee. This document will give information on why the city would be the ideal destination for the conference and detailing the facilities that the conference would require. It will also give detailed information on the destination as a whole as well as accommodation, social programmes and Bureau Services.
Letters of support from the Lord Provost of Aberdeen, and other parties that may be affiliated to the organizing committee would be included. The bid can be prepared either in hard copy format or electronic.
Supporting information for bids
Materials such as DVDs, CD Roms or slides can also be provided to support and enhance a bid.
Site Inspection and Familiarisation Visits
The Bureau will work with its local partners to coordinate and host a site visit for the conference committee to highlight the excellent facilities available in the area.
Accommodation Booking Service
The Bureau provides a comprehensive accommodation booking service, which allows delegates to book their conference accommodation online.
Social Programmes
The Bureau will assist with providing a number of ideas and suggestions for social programmes. If the committee have any special requirements the Bureau will work with local event organisers to incorporate these.
Pre and Post Conference Tours
Working with a local consultant, who is also a qualified Blue Badge Tourist Guide, we can arrange and deliver a variety of very successful pre and post tours. These tours can be tailor-made to meet clients' varying needs.
Pre-marketing
A Bureau representative will be happy to attend the conference the preceding year to maximise delegate attendance or alternatively literature and promotional items could be supplied to promote the forthcoming conference.
Provision of Promotional Literature
The Bureau will provide free material for delegate packs, this could include, Visitor Guides of the area, street maps, event listings, giveaways and can arrange for a visitor information stand to be at the conference when it is held in Aberdeen
Transportation
The Bureau can provide quotes for transportation whether between the conference venue and hotels on a daily basis or to attend gala dinners, drinks receptions or social events.
